A Decade of SharePoint Online Success: A Technical Deep Dive
As certified Microsoft SharePoint Online professionals with a combined twenty years of experience, we’ve encountered many unique and technically challenging project in our organisation. One project, in particular, stands out for its complexity and the technical depth it required.
The challenge presented to us was to create a centralised knowledge management system for a large multinational corporation. This task demanded a comprehensive understanding of SharePoint Online and its integration capabilities. Our goal was to enable seamless collaboration and knowledge sharing among thousands of employees scattered across the globe while maintaining data security and regulatory compliance.
The technical intricacies of this project were nothing short of daunting. We began by designing a comprehensive information architecture using SharePoint’s powerful features. Content types and metadata were employed to structure information, enabling employees to classify and locate documents easily. Custom workflows were created to streamline document approval and publishing processes. This foundation ensured the system could handle various document types and facilitate effective information retrieval.
To address data security and compliance concerns, we implemented Azure Information Protection, which integrated seamlessly with SharePoint Online. This allowed us to classify and protect sensitive data, ensuring it was only accessible to authorised personnel. Furthermore, we configured data retention policies to meet regulatory requirements, enabling the organisation to comply with industry standards.
One of the technical highlights of the project was the use of SharePoint’s REST APIs to create custom web parts and extensions. These customisations enhanced the user experience by providing dynamic content, real-time data updates, and personalised dashboards. Additionally, we leveraged SharePoint Framework (SPFx) to create custom web parts that integrated external data sources, such as the company’s CRM system, into the SharePoint environment. We continually fine-tuned our approach throughout the project to maximise the platform’s capabilities. We optimised search configurations to ensure employees could find information swiftly, even when dealing with a vast and diverse knowledge repository. Additionally, we established governance policies to maintain consistency and prevent information sprawl, all while enhancing the overall user experience.
The need for effective change management matched the technical challenges. We conducted extensive training sessions to familiarise employees with the new system’s features and benefits. User-friendly guides and resources were created, and a dedicated support team was established to assist employees in real time. Witnessing employees transition from initial scepticism to enthusiastic adoption was a rewarding experience.
As the project unfolded, we observed how SharePoint Online’s co-authoring and version control capabilities facilitated collaboration among global teams.
